Don't put vendors in the day-of group chat: that chat becomes the disaster itself

You need a group chat on the day so the people helping can reach each other. But who's in it and who isn't decides whether it helps or hurts.

Who should be in it

About six to eight people. These are the people who need the whole picture on the day.

Don't add vendors

Vendors go through the coordinator on a single line (see item 24 of the checklist).

Add the photographer, DJ, florist, caterer and driver and on the day that chat becomes:

A coordinator exists precisely to be that single point of contact. Vendors ask them, they solve it, and only what they can't solve goes up.

What to pin in the chat beforehand

The couple shouldn't be looking at a phone that day

That's the core of this item.

The chat is for the helpers, not for the couple.Hand the couple's phones to the best man or maid of honor, just like the rings, emergency kit, and document folder (see items 47, 50, and 126 of the checklist).

If something genuinely needs the couple to decide, a helper walks over and asks in person. That's the correct flow.

Practicalities at a Chinese wedding

Two things to watch:

1. Older relatives use LINE

If both sets of parents use different messaging apps (Taiwanese elders on LINE, American friends on SMS or WhatsApp), settle on one first, otherwise you will end up with two group chats and unsynchronized information.

Accommodating the elders is usually the practical choice, since they're the least likely to install a new app for one day.

2. Language

If the chat includes members who don't read Chinese (an American coordinator or best man, say), important messages need both languages, or at minimum the coordinator's line has to be in a language they read.

What often works in practice is two chats: a family one (in Chinese) and an operations one (in English, with the coordinator and the wedding party leads), with the couple in both.

Disband it afterwards

Or at least rename and archive it. That chat exists for one day; leaving it afterwards just creates another group nobody talks in.
